General changelog

This changelog covers general changes to the Mailingwork software since 2025. In addition to the changes listed here, we continuously implement detail improvements and bug fixes to further improve the stability, performance, and security of our software.
  1. For changes from previous years please check the update newsletter archive (automatic translation).
  2. Software developers please check the web service interface (API) changelog.

2025-11-27 Throttling: Central setting for all Subaccounts

In your admin account, you can now define a central throttling rule for all subaccounts, for example to help distribute large sending volumes more evenly. In the account settings, under the "Advanced Settings" tab, you can specify the allowed volume and the desired time interval. After saving, the throttling rule is automatically applied to all subaccounts. When emails are newly created, copied, or restored from the archive, the throttling is automatically set. Subaccounts can also adjust or remove this default if needed.

2025-11-24 Substitutes: More characters allowed

The substitute ensures clear assignment when distributing elements across accounts. We have increased the number of characters allowed, so that from now on substitutes with up to 255 characters can be assigned.

2025-11-14 Subscriber Lists: Sort by Last Import

Subscriber lists can be enriched with new subscribers via imports. The information on when a list was last updated through an import is available in the 'Subscriber Lists' menu under the 'Last Import' column. As of now, you can sort this column in ascending or descending order by date, making it easier to identify which lists were updated most recently.

2025-11-13 Global Users: Access multiple subaccounts with a single login

In addition to account-specific users, you can now create global users with the new global user management feature. These users can access multiple accounts using a single login. Global uers are created in the admin account and linked to selected subaccounts. For each account, you can assign individual central user roles to manage permissions with precision.
The login process has been updated accordingly: if a global user has access to multiple accounts, they can select the desired target account during login. Switching between accounts later is also possible at any time via the account switch menu found in the navigation.

2025-11-06 Account Description in the Export Wizard

With the Export Wizard, you can create automated exports to analyze mailing statistics across multiple accounts. From now on, you can also include the account description as an additional account detail in the export.

2025-11-06 Reactivating retained email addresses: Multi-select available

The Bounce management -> Retained addresses menu lists all email addresses excluded from sending after triggering a hard bounce 3 times in a row. As an authorized editor (Blacklist role permission), you can now select multiple addresses to remove them from the retained list. This requires the account permission Unblock retained addresses to be enabled. Important: Only reactivate addresses with solid proof from the recipient to avoid risking the sending IP’s reputation and, consequently, your newsletter deliverability. Typical reasons for reactivation include the mailbox existing again (newly created/migration resolved) or delivery being allowed by the recipient’s IT (DNS/MX/SPF/DKIM fixed and/or whitelisted).

2025-11-03 User Management: New “Set password” Feature

To make setting up new users easier in User Management, you can use the new “Send set-password email” button on the “Login” tab. The user will receive a message at their registered email address to quickly and securely set a new password. You can also use this for existing users if they ask for help despite the “Forgot password” link in the login form.

2025-10-1 Automatic deletion of standard emails older than 3 years

As announced, archived standard emails will be automatically and regularly deleted 3 years after their send date, including their statistics. A corresponding notice appears in the email archive overview.

This does not affect campaign and dialog emails, nor:

  • Standard emails that are active as the resend email of an opt-in setup

  • Standard emails used in target group conditions, e. g. in target groups assigned in current standard emails or campaigns

If a 3-year retention period isn’t sufficient for you, please see the instructions for exporting archived emails and the associated statistics.

2025-09-15 Faster transactional email delivery even during peak load

We’ve accelerated the delivery speed of campaign and transactional emails even during peak load times. Transactional emails are typically sent to an individual user right after they perform an action. Examples include a campaign welcome email or an order confirmation sent using the API function SendEmailByIdAndRecipient. For details, see the API cangelog.

2025-07-07 Temporarily suspending users

You can suspend users in the User tab "Login" without deleting them. Suspended users can no longer log in, but all their roles and data remain unchanged — ideal for internal suspensions due to longer absences or similar use cases.

2025-07-07 Self-service multi-factor authentication

Optional multi-factor authentication (MFA) protects your account with a second factor in addition to your password.

We have updated this feature in three key ways:

  • Easier to enable: Previously, MFA was only activated upon request. Starting now, any user with administrator permissions can enable MFA themselves. The setting can be found in the new "Account Settings" menu item in the profile menu at the top right.

  • Single or multi-account: MFA can be activated for individual accounts or, with one click, for all subaccounts of a multi-account.

  • Authentication app instead of SMS: In the "My Settings" menu, each user can now choose whether they want to receive the login code via email or via an authentication app (TOTP) / password manager. On the first login after MFA activation, they will be guided through the required steps. This also applies to users who previously used SMS as a second factor, because the SMS option is no longer available as of now.

2025-06-02 Update to Terms and Conditions

Our company is now operating under the new legal name "Positive Group Chemnitz GmbH". The MAILINGWORK brand remains unchanged — and so do your existing contacts.

As part of this change, new General Terms and Conditions (GTC) took effect on 2025-06-01.

2025-04-07 Transactional emails accelerated

We have significantly improved the send speed of campaign and transactional emails. Delivery now usually happens within just a few seconds, similar to what was previously only possible using the API function SendEmailByIdAndRecipientAsynchronous.

Transactional emails are typically sent to an individual user right after they perform an action. Examples include a campaign welcome email or an order confirmation sent using the API function SendEmailByIdAndRecipient. For details, see the API cangelog.

2025-04-07 Campaign overview: customizable column selection

In the campaign overview, you'll now find a new "Column selection" button in the top right. You can use it to define which columns are shown and in which order — similar to the email overview and email statistics.

If your campaigns contain very long descriptions, you can replace the existing "Description" column with the new "Full description" column.

2025-04-07 Support for longer usernames

User Management now supports usernames up to 255 characters instead of 50. This allows you to use, for example, a very long email address as a username.

2025-03-03 Export Wizard: extended support for mailing tags

The combination of the Export Wizard and mailing tags is a powerful tool to export and analyze mailing statistics according to your individual requirements.

The Export Wizard already supports using tags as a filter to select which mailings should be included. Independently from that, you can now also include the tags directly in the export file. To do this, go to the "Mailing details" section and enable the new output column "Tags". You can use tags, for example, to group your mailings by editor, client, topic, or customer type.

2025-01-06 Multi-account systems: monitor send volume

If you are the supervisor of a multi-account system, you will now find a new overview under "Administration ⭢ Sendings ⭢ Send volume overruns". This allows you to monitor send volume overruns of your subaccounts.
