What do I need to consider when migrating a Mailingwork account?
If you want to migrate an existing Mailingwork account into a new account or into a multi-tenant system, here are a few points to keep in mind: Preparation & Planning
- Access & Permissions: Make sure all relevant users have the necessary login credentials and roles/permissions for the new account.
- Data Backup: Check whether a data backup (subscriber lists, target groups, reports, mailings, etc.) from the old account is needed before the switch.
- Communication: Inform all colleagues involved (e.g. Marketing, IT, Data Protection Officers) about the upcoming account switch.
Data and List Transfer
- Recipient Data:
- Export your subscribers’ data from one account and import it into the new account.
- Pay attention to any duplicates, blacklist entries, and previously unsubscribed recipients to ensure that no one who has already unsubscribed receives another email.
- Target Groups: If you have already created target groups in your old account, check whether they can be recreated in the new account.
- Historical Data: Consider whether old mailing statistics (e.g. open rates, click rates, unsubscribe statistics) need to be transferred or remain in your old Account. If a transfer is desired, clarify with our support whether it is technically feasible.
Templates, Forms, and Content
- Templates: Download existing templates (e.g. email, landing page, or survey templates) from your old account and upload or recreate them in the new account. Make sure that any links, placeholders, or images still work correctly.
- Forms (Setups): If you use forms for newsletter sign-ups or unsubscribes, make sure they are correctly set up for the new account (double opt-in processes, redirect pages, etc.).
- Image and Document Management: Check whether images from the media library or webspace need to be transferred to the new account and whether their URLs or file paths will still be valid afterward.
Sending and Technical Settings
- Sender Addresses: Enter the desired sender addresses (Administration > DKIM and sender domains) in the new account and check whether new DNS entries (DKIM) need to be set up or adjusted.
- Whitelabeling: If you used a whitelabel solution for your account, you must set it up again for the new account.
- API Integrations: If you have connections to external systems (CMS, CRM, etc.), make sure that the API is set up in the new account and that the interfaces are correctly linked.
- Tracking & Reporting: If you use your own redirect domains, they should be properly stored in the account—we are happy to help you with this. Also check that email tracking (e.g. for clicks/opens) is working correctly.
- SSL Certificate: If the domains you use in Mailingwork have an SSL certificate provided by Mailingwork, please let us know at ssl@mailingwork.de, so we can transfer the certificate file to the new account.
Legal Aspects & Data Protection
- Consent: Ensure that your recipients’ consents remain valid and are documented correctly (double opt-in documentation).
- Unsubscribes & Blocklists: You must transfer all unsubscribes/blocklists (blacklist) so that no previously unsubscribed addresses accidentally receive emails again.
- Data Protection Agreements: Check whether switching to the new account affects your ADV/AV contracts (data processing agreements) and update them as needed.
Testing & Quality Control
- Test Send-Out: Before sending an email to your subscribers in the new account, perform a test send-out to ensure that the layout, tracking, and personalization are working correctly.
- Form and Automation Checks: Test your sign-up and unsubscribe forms, and review any automated workflows or triggered mailings.
- Links & Redirects: Check all links in your templates and mailings to make sure they work as intended.
