Glossary

A-Record

An A-Record (Address Record) is a DNS entry that links a domain or subdomain to a static IP address. It ensures that requests to a domain are directed to the correct IP address.

API (Application Programming Interface)

An API is an interface that allows different software applications to communicate and exchange data. In MAILINGWORK, an API can be used to transfer address data from a CRM system or other applications.

Blacklist

A blacklist is a list of addresses to which no mailings should be sent. Once an entry is on a blacklist, emails are not delivered to the corresponding address, and it is also impossible for recipients with these addresses to sign up on a subscriber list.

Bounce Management

Bouncing occurs when an email cannot be delivered to a recipient's inbox. The mail server sends a bounce message back to the sender.

- Hard Bounce: Permanent delivery failure (e.g., the email address no longer exists).
- Soft Bounce: Temporary delivery issue (e.g., recipient's inbox is full). Bounce management in the mailing software automatically collects bounces in a dedicated list.

Call-to-Action (CTA)

A call-to-action (CTA) is a directive in an email, webpage, or ad designed to prompt the recipient to perform a specific action, such as "Sign Up Now" or "Learn More."

Conversion Rate

The conversion rate represents the percentage of recipients who perform a desired action after opening an email, such as making a purchase or registering for a webinar.

Dialogmail

Dialog mails are used for direct interaction with individual recipients and must be integrated into setups. For example, a dialog mail is triggered when a subscriber confirms their opt-in via a double opt-in process.

DKIM (DomainKeys Identified Mail)

DKIM is an email authentication method that ensures an email has not been altered and is indeed from the stated sender. It uses digital signatures to verify the integrity and authenticity of the email.

DMARC (Domain-based Message Authentication, Reporting & Conformance)

DMARC is an email authentication protocol based on SPF and DKIM. It allows domain owners to specify policies for handling unauthenticated emails and provides reports on email activities.

Double-Opt-In

Double-opt-in is a subscription process where a recipient must confirm their email address via a confirmation email before being added to a mailing list.

Email Client

An email client is a program or app used to send, receive, and manage emails. Examples include Microsoft Outlook, Apple Mail, and Gmail.

Email Format

There are three email formats:
- HTML: Emails with HTML code for styled text and images.
- Text: Plain-text emails without HTML.
- Multipart: Emails with both HTML and text versions. If HTML cannot display, the text version is shown.

Email Types

The software supports three email types:
- Standard Mail: One-time simultaneous dispatch to multiple recipients, such as newsletters.
- Campaign Mail: Sent to recipients who meet specific criteria.
- Dialog Mail: Direct communication with individual recipients, triggered by specific actions.

Export

Exporting refers to the extraction of recipient data from a subscriber list in the software, usually into a CSV format.
The footer is the bottom section of an email or webpage that typically includes information like unsubscribe links, legal notices, or contact details.

FTP (File Transfer Protocol)

FTP is a network protocol for transferring files between computers over the Internet, commonly used to upload subscriber data for automated imports.

Import

Import refers to uploading recipient data (subscribers) for use in the mailing software.

Inbound Images

Inbound images are images embedded directly into an email's HTML code, enhancing visual appeal but potentially increasing email size and spam risks.

Interests

The Interests module translates a subscriber’s mailing activity into a numeric score reflecting their preferences. It allows tailoring content to individual subscribers, displaying or arranging articles based on their interests.

Landing Page

A landing page is a specially designed webpage aimed at encouraging visitors to take specific actions, such as signing up for a newsletter or purchasing a product.

Mailing

A mailing refers to any type of dispatch processed via the software, including emails, postcards, faxes, and SMS.

Media Management

The media management module lets users upload images, documents, and other media to integrate into email campaigns, streamlining content creation.

MX Record

An MX record is a DNS entry specifying which mail server receives emails for a domain, ensuring proper delivery.

Personalization

Personalization involves tailoring email content to individual recipients, such as using their name or adapting content based on their behavior or preferences.

Responsive Design

Responsive design ensures emails and websites adapt to the user’s device or screen size for optimal display and usability.

SPF Record (Sender Policy Framework)

An SPF record is a DNS entry specifying authorized servers for sending emails on behalf of a domain, preventing spoofing.

Spam Filter

A spam filter identifies and blocks unwanted emails (spam) based on various criteria, such as content and formatting.

Statistics

Statistics provide insights into mailing performance, such as open rates and click rates.

Subscriber List

Subscriber lists are like folders. They contain a specific selection of subscribers and are used to choose recipients for mailings during email, SMS, etc., dispatch. Subscribers can be assigned to multiple subscriber lists.

Surveys

The survey module enables creating web-based surveys with various question types and statistical analysis of results.

Target Groups

Target groups are a filtering system that enables selecting specific subscribers for mailings, campaigns, or analysis.

Templates

Templates are HTML-based frameworks for emails, landing pages, or reports, making content creation more efficient.

Tenant System

A tenant system in MAILINGWORK is an overarching system containing multiple accounts, useful for companies with many locations. It allows account management and resource distribution.

Unsubscribe List/Unsubscription

Unsubscription refers to when a recipient revokes their consent to receive promotional emails from a specific provider. The record is removed from the subscriber list and added to the unsubscribe list. All unsubscribed entries across the account’s subscriber lists are collected in the unsubscribe list.

Whitelist

A whitelist is a list of trusted IP addresses, email addresses, or domains that ensures their emails are not flagged as spam.
